Write for the person taking the next action

Useful call notes explain why the prospect contacted you, what was agreed and who does what next. A transcript is usually harder to scan. Prepare the headings before the call so you can listen without building a document at the same time.

Contact and company:
Call date and time zone:
Reason for inquiry:
Requirements confirmed:
Questions still open:
Decision made:
Next action / owner / due date:
Preferred contact channel:
Follow-up permission or stop request:

Make each action testable

Replace “send information” with “Maya sends the two-page scope and estimate by Thursday.” If the prospect must supply a document, record that dependency. Read back the next action at the end of the call and give the other person a chance to correct it.

Separate evidence from guesses

Quote a requirement briefly when its wording matters. Do not turn a tentative discussion into a commitment. If no budget or deadline was confirmed, mark it unknown and assign a question for the next conversation.

Send a short recap

Thanks for discussing [need].
We agreed: [decision].
I will: [task and date].
You will: [task and date, if agreed].
Open question: [question].
Please reply if I have missed or misunderstood anything.

Keep notes proportionate

Include details relevant to the work and restrict access to the people who need them. Put stop requests where everyone handling follow-up can see them. Use the follow-up examples when the next message is due.
